Who has access to your data?
The A-wareness Foundation will only disclose your personal data to those responsible for carrying out the purposes described above. The A-wareness Foundation will not disclose your data to third parties, unless it is legally obliged to do so or if the A-wareness Foundation, acting in good faith, considers that it has a legitimate (legal) interest in doing so.

How do we protect your data?
The A-wareness Foundation ensures that your personal data is subject to an appropriate level of security, so that it is protected and safeguarded against unauthorised use, unauthorised access, alteration and unlawful destruction.

What privacy rights do you have?
You have the right to access your personal data, to request the correction or erasure of your personal data, or to restrict the processing of your data. If you wish to exercise your rights, you may submit a specific request to this effect, stating your name and contact details. The A-wareness Foundation will respond to your request within four weeks. In the event of a request for erasure, The A-wareness foundation will erase the relevant data as soon as possible, unless and insofar as The A-wareness foundation is required by law to retain the relevant data. What are the consequences if I do not wish to provide my personal data?
You are not obliged to provide your personal data. However, if you do not provide certain personal data, you may not be able to access all parts of the website and/or The A-wareness Foundation may not be able to respond to messages you send to Stichting A-wareness via the website. Furthermore, The A-wareness Foundation may not be able to fully meet your requirements.

Why does the A-wareness Foundation process your personal data?

Part 2: What personal data does the A-wareness Foundation process in relation to your role, and for what purpose? And how long is this data retained?

2.1 You are using the website or other online services provided by the A-wareness Foundation
If you contact the A-wareness Foundation via this website, the A-wareness Foundation will process the personal data you send us, such as your name, gender, address and any other personal data you include in your message to the A-wareness Foundation. This may include: your name, gender, address details, email address, bank account number and the name of your employer. The A-wareness Foundation uses this data to manage the relationship between you as a Friend and the A-wareness Foundation, for example to collect membership fees and to send you accurate and personalised information about the A-wareness Foundation’s activities. Your personal data may also be processed if this is necessary to comply with laws and regulations or if there is a legitimate interest on the part of the A-wareness Foundation.

The A-wareness Foundation will not retain your data for longer than is necessary to achieve the stated purposes, taking into account our need to invite you to events, keep you informed, collect membership fees, resolve issues and comply with legal requirements. This means that we may retain your data for a reasonable period following your last interaction with the A-wareness Foundation. When the data we collect is no longer required, we will destroy or delete it in a secure manner.

2.3 You are a potential Friend of the A-wareness Foundation
If you have indicated in any way that you are interested in becoming a Friend of the A-wareness Foundation and have provided us with your details for this purpose, we may process these details to send you information and to inform you about the potential Friendship. We may use your postal address to verify whether you are already a Friend of the A-wareness Foundation. Your personal data may also be processed if this is necessary to comply with laws and regulations or if there is a legitimate interest on the part of the A-wareness Foundation.

The A-wareness Foundation will not retain this data for longer than is necessary to pursue our legitimate interest in informing potential Friends. Furthermore, we will delete your data upon your first request, insofar as this is legally possible.

2.4 You are involved with the A-wareness Foundation as a volunteer
If you are involved as a volunteer in the activities of the A-wareness Foundation, we will process the data you provided when you registered as a volunteer, such as your name, gender, address and email address. We use this data to inform you about what is expected of you as a volunteer, to invite you to volunteer at new events, and to comply with the legal obligations incumbent upon the A-wareness Foundation. Your personal data may also be processed where there is a legitimate interest on the part of the A-wareness Foundation.

2.5 You are taking part in an event organised by or on behalf of the A-wareness Foundation
If you have provided data to the A-wareness Foundation as a participant in an activity or event, we process this data to enable your participation. We process this data to ensure safe participation in the event for everyone, for statistical purposes and to facilitate the organisation of the event. We do this in order to maintain contact with you and send you information.

2.9 You have agreed (via a consent form) to the publication of photographs or videos on the A-wareness Foundation website or other (online) channels.
The A-wareness Foundation asks individuals featured in photographs or videos – for example, of activities at events – to sign a consent form. This form includes your name, address details, email address, telephone number and date of birth. This information is used solely to identify you and to contact you should any questions arise regarding the use of the photograph or video. The legal basis for this processing is consent.

2.11 You are submitting an application as an employee of Koninklijke A-ware Food Group B.V. (or a group company) for a contribution towards a sporting challenge for charity.
If you apply for a grant from the A-wareness Foundation to support a sporting challenge for charity and you are employed by Koninklijke A-ware Food Group B.V. or one of its group companies, we will process the data you have provided to us in your application and which is known to Koninklijke A-ware Food Group B.V. by virtue of your employment. This may include your name and your email address and/or postal address, as well as information needed to assess whether and for how long you have been employed by Koninklijke A-ware Food Group B.V. and in what capacity. This data is used to assess your application and respond to your request. Your personal data may also be processed if this is necessary to comply with laws and regulations or if there is a legitimate interest on the part of the A-wareness Foundation.
